Privacy Policy

Effective date: September 23, 2026.

This Privacy Policy explains what Capped Out Media LLC, doing business as Barn Scan ("Barn Scan," "we," "us"), collects about you when you use barnscan.com and the Barn Scan apps, why we collect it, and the choices you have.

1. What we collect

  • Account information: your email, name, and phone number if you give it to us.
  • Horse details: name, breed, age, and other information you enter about a horse tied to a case.
  • Films and reports: the radiograph films you upload and the reports we generate from them.
  • Payment metadata: what you bought, when, and the last four digits and brand of a card, handled by our payment processor. We never see or store full card numbers.
  • Device push tokens, if you enable notifications on the mobile app.
  • Support messages you send us.
  • Email delivery events (opened, bounced, unsubscribed) for messages we send you.
  • Basic logs: IP address, browser or device type, and timestamps, kept for security and troubleshooting.

2. How we use it

We use this information to run the Service: to produce your reports, bill you, send you the emails and push notifications the Service depends on (a report is ready, a film needs a re-upload, a receipt), answer support requests, keep the Service secure, and improve how accurately we read films.

3. AI processing

To generate a report, we send your uploaded films and any notes you provide to Anthropic for analysis, under Anthropic's commercial terms. Anthropic does not use the data you send through our account to train its general models. We do not send your account email, name, or payment information to Anthropic as part of that analysis.

4. Who we share it with

We do not sell your personal information, and we do not share it for third-party advertising. We share it only with the service providers that make Barn Scan work, each bound by a contract that limits what they can do with it:

  • Supabase, for our database, authentication, and file storage.
  • Vercel, for hosting the website and application.
  • Stripe, for payments made on the web.
  • Apple and Google, for in-app purchases made through the mobile apps.
  • Resend, for sending transactional and account email.
  • Anthropic, for AI analysis of uploaded films, as described in Section 3.
  • Expo, for delivering push notifications to the mobile apps.

We may also share information if the law requires it, to protect the rights and safety of Barn Scan or our users, or as part of a merger, acquisition, or sale of assets, in which case this Policy would continue to apply to your information.

5. Share links

Share links to a report are opt-in: they are created only when you choose to make one. A share link works for anyone who has it, without a login, so treat it like you would a document you handed someone. You can revoke a share link at any time from your case, which immediately stops it from working.

6. Retention

We keep your account information and case history for as long as your account is active. If you ask us to delete your account, we delete your personal information and films within 30 days, except for payment records, which we keep for 7 years to meet our accounting and tax obligations; those records are anonymized where the law allows it.

7. Security

Films and reports are encrypted at rest and in transit, and stored in a private bucket that only your account and authorized Barn Scan staff, through short-lived signed links, can reach. No system is perfectly secure, and we cannot guarantee absolute security, but we design and review our systems to keep your data private.

8. Children

Barn Scan is not directed to anyone under 18, and we do not knowingly collect personal information from children. If we learn that we have collected personal information from someone under 18, we will delete it.

9. Your rights

Depending on where you live, you may have rights under the GDPR, the UK GDPR, the CCPA, or the CPRA, including the right to access the personal information we hold about you, correct it, delete it, receive a copy of it in a portable format, and object to certain processing, without discrimination for exercising any of these rights.

You can exercise most of these rights yourself from your account settings, or by emailing help@barnscan.com. We respond within 30 days (45 days for a CCPA or CPRA request, as the law allows).

10. International transfers

Barn Scan is based in the United States and our service providers store and process data in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States.

11. Changes to this Policy

We can update this Policy from time to time. If we make a material change, we will post the new Policy here with a new effective date and, where practical, tell you by email.
